Neks Consultancy (“we”, “us”) is a workforce and HR consultancy providing international recruitment, visa and immigration processing, documentation, training and related advisory services. 2. Information we collect

Depending on your relationship with us, we may collect:

• Enquiry data — name, employer, email, phone, country and the details of your enquiry.
• Candidate data — CV, employment history, qualifications and trade certificates, passport and identity details, visa history, medical clearance status, police clearance status, references and next of kin.
• Client data — company registration details, licences, contact persons and contractual records.
• Technical data — basic server logs and, where applicable, analytics about how this website is used.

3. Why we process it

We process personal data to respond to enquiries, assess candidate suitability, prepare and lodge visa and work permit applications, verify credentials, arrange training and travel, meet legal and regulatory obligations in the source and destination countries, and maintain records required for audit and inspection.

4. Legal bases

We rely on: performance of a contract (or steps taken before entering one), compliance with legal obligations, our legitimate interests in operating and improving the service, and consent where required — in particular for sensitive categories such as medical information, which we process only where necessary for a visa or employment requirement and with your explicit consent.

5. Who we share it with

We share personal data only where necessary with: prospective employers you have applied to or been shortlisted for; government departments, embassies, consulates and immigration authorities; approved medical panels and testing centres; attestation, translation and notarial service providers; travel and insurance providers; and professional advisers. We do not sell personal data to anyone, for any purpose.

6. International transfers

Because our work is inherently cross-border, personal data will be transferred between the source and destination countries relevant to your placement. Where required, we put appropriate safeguards in place for those transfers.

7. Retention

We keep candidate and placement records for as long as needed to deliver the service and to meet the record-keeping periods imposed by the relevant immigration and labour authorities, after which the data is deleted or anonymised. Unsuccessful enquiry data is retained for a shorter period unless you ask us to keep you on file.

8. Your rights

Subject to local law, you may request access to your data, correction of inaccurate data, deletion, restriction of processing, a portable copy, or withdrawal of consent. You may also object to processing based on legitimate interests. To exercise any of these, email contact@neksconsultancy.com. You have the right to complain to your local data protection authority.

9. Security

We apply access controls, encryption in transit, confidentiality obligations on staff and partners, and secure disposal of physical documents. No system is perfectly secure, but we do not store identity documents for longer than the process requires.
